Can I transfer the promo code to my co-presenter?

Yes, you can transfer the 50% off registration to your co-presenter. If you elect to do this, please contact EACE Headquarters at [email protected] You may not transfer the 50% off registration code to anyone other than a co-presenter.

When will I find out the location and date of my session?

  • February 10, 2020: Accepted breakout session emails will go out to presenters
  • February 17, 2020: Deadline for breakout session presenters to accept the presentation offer
  • February 19, 2020: Accepted speed learning session emails will go out to presenters
  • February 26, 2020: Deadline for speed learning session presenters to accept the presentation offer
  • April 15, 2020: Finalized schedule with breakout sessions, speed learning sessions, and HCRI credits will go up on the EACE website

Presenters will be assigned a date and time based on the the EACE20 schedule. Any scheduling conflicts must be indicated on the presenter confirmation form. Scheduling requests after April 1, 2020 are not guaranteed.

What do I need to bring for my presentation? 

Presenters will be provided with internet, a projector and cable at the conference in your assigned break-out room. You are required to bring your own laptops, chargers and adapters (if applicable). Adapters are typically only needed for Mac devices. Laptops will not be provided on-site.

Do I need to follow any guidelines for my presentation? 

As part of Diversity & Inclusion initiatives for EACE20, presenters will be required to prepare and present slides in a universal design format which focus on respecting diversity and creating a culture of inclusion. This template will be emailed to confirmed presenters by May 1, 2020.

Does EACE print copies of my handouts to distribute?

EACE does not print copies of break-out session handouts or presentations. You can expect to be contacted closer to the event with instructions on how to upload presentations and/or handouts to the conference mobile app.

What if I have changes to my presentation proposal?

Any changes to your proposal should be indicated on the presenter confirmation form. Any major changes, such as a topic change, will need to be approved by the 2020 EACE Annual Conference Programming Committee Co-Chairs.

What comes with my registration?

Full conference registrants have access to all sessions and events (excluding the Pre-Conference Workshop, which is optional and has a separate fee.) The following food and beverages are also included:

  • Wednesday lunch
  • Light hors d’oeuvres and drinks for Wednesday's Welcome Reception
  • Thursday breakfast
  • Thursday Awards Luncheon
  • Thursday Entertainment Night drinks
  • Friday brunch

Where do I pick up my registration materials?

You will need to pick up your name badge along with conference materials when you arrive to the convention center. EACE Annual Conference registration and activities are on the 4th floor of the Marriott unless otherwise noted. Remember to wear your name badge at all times, as it serves as entry to all conference functions, including social functions. The registration desk will be open during the following hours:

  • Wednesday, August 5: 8:00 am - 5:00 pm
  • Thursday, August 6: 8:00 am - 5:00 pm
  • Friday, August 7: 8:00 am - 9:00 am

What do I do if I need to cancel?

All cancellation requests must be emailed to [email protected].

  • An 85% refund will be granted when the cancellation request is received 10 business days prior to the scheduled event (by July 22, 2020).
  • 50% refund will be granted if the request is received between 9 and 5 business days prior to the scheduled event (from July 23 to July 29, 2020).
  • No refunds will be granted if the request is received fewer than 5 days prior to the scheduled event (after July 29, 2020).

Any cancellation request received fewer than 10 business days prior to a scheduled event (or after the event date has passed) due to an extenuating circumstance may be reviewed by the respective committee chair(s) who in turn will recommend the appropriate refund and action to the Board of Directors.

You may also consider transferring the registration to someone else in your organization. See below for instructions.

Can I transfer my registration if I can no longer attend?

Yes! You may transfer your registration to someone else in your organization. There is no fee for equal transfers. If you are transferring to a non-member, you will be invoiced for the difference in member vs non-member pricing. The request must be made via email to [email protected] and include the following information:

  • Name
  • Job Title
  • Email
  • Phone
  • First time attending EACE Annual Conference? Y / N
  • Any dietary needs / physical accommodations required

I am a member of NACE. Does that mean I receive member pricing for EACE? 

No. EACE is independent and autonomous from the national association.

Is there a deadline to book my hotel room at the group rate? Where do I make the reservation?

The deadline to book your hotel room at the discounted group rate of $169 per night (plus taxes/fees) is July 17, 2020 at 6:00 pm EST. It is highly likely that the group room block will sell out prior to the deadline, therefore, it is recommended to book your room early.

Can I receive the discounted room rate for dates before and/or after the conference?

Yes. The discounted room rate of $169 (plus taxes/fees) is available to EACE attendees from August 3-7, 2020, so consider extending your stay to enjoy historic Baltimore!  Come early to do some sightseeing! The group rate deadline is July 17, 2020 and is subject to availability.

Does the hotel provide transportation to/from the airport?

No, the Baltimore Marriott Waterfront does not provide transportation. Taxi services, public bus, and Lightrail services are available from BWI Airport. Fare starts from $45 USD for taxi/Uber, $8 USD for public buses, and $3 USD for Lightrail. For more information click here.

What are the driving directions to the hotel? What are the parking fees?

The Baltimore Marriott Waterfront is located at 700 Aliceanna Street, Baltimore, MD 21202. Click here for custom driving directions. 

Parking fee is from check-in until 6:00 pm on check-out day. Valet Parking is located behind the hotel at back entrance. Rates are as follows:

Valet: 

  • Daily - $45.00 USD

Self-Parking:

  • Hourly - $8.50 USD
  • Daily - $26.00 USD

How do I get an attendee list?

Approximately 1-2 weeks prior to the event, you can expect to receive an email entitled "Tips For Your Trip." This email will contain the attendee list including name, organization, city, state, and email in PDF format. EACE does not distribute attendee lists in excel format. Attendee lists are not distributed by request.

Additionally, EACE members have access to the attendee list which updates in real-time! If you are a current member AND logged into the website, you can access the attendee list from the EACE20 main menu.

Will I receive a printed conference program?

Due to the popularity of the EACE Annual Conference app, the association does not provide printed copies of the schedule. The interactive schedule, presentation handouts, speaker bios, transportation information and more is easily accessible from your mobile device! If you prefer a printed copy, please print out the schedule to bring with you.

What is the conference attire?

Business casual is suitable for all conference activities. Social functions are casual. It is recommended to dress in layers as meeting rooms can get chilly.

Do I receive continuing education credits for attending?

Many conference sessions may offer credit through SHRM and/or HRCI for attending. Sessions offering credit will be noted on the schedule.

When will break-out session information be available?

If you submitted a session proposal, you can expect to be notified of its acceptance status by the end of February. Session details should be available on the conference schedule webpage by mid-April.

When will the 2020 EACE Annual Conference App be available?

The EACE20 Mobile App will be available closer to the event. Details to come!

Will there be free WiFi at the conference?

Yes. WiFi information will be posted at the EACE Registration Desk.

Can I bring my spouse/children?

Although attendees may bring family members to the hotel, only paid registrants wearing conference names badges will be permitted to attend conference events and food/social functions.
