What comes with my registration?

Full conference registrants have access to all sessions and events (Pre-Conference Workshop is optional and is a separate fee.) The following food and beverages are also included:

  • Monday lunch
  • Hors d’oeuvres and 2 drink tickets for the reception
  • Tuesday breakfast
  • Tuesday awards luncheon
  • 2 drink tickets for the Entertainment Night
  • Wednesday brunch
  • Food and beverages during the breaks
  • Snacks in the Hospitality Suite

Where do I pick up my registration materials?

You will need to pick up your name badge along with conference materials when you arrive. Your name badge serves as entry to all conference functions, including social functions. The registration desk is located on the second floor of the Hyatt Regency Reston and is open during the following hours:

  • Monday, June 25: 8:00 AM - 5:00 PM
  • Tuesday, June 26: 8:00 AM - 5:00 PM
  • Wednesday, June 27: 8:00 AM - 9:00 AM

What do I do if I need to cancel?

All cancellation requests must be emailed to [email protected].

  • An 85% refund will be granted when the cancellation request is received 10 business days prior to the scheduled event (by June 11, 2018).
  • 50% refund will be granted if the request is received between 9 and 5 business days prior to the scheduled event (from June 12 to June 18, 2018).
  • No refunds will be granted if the request is received fewer than 5 days prior to the scheduled event (after June 18, 2018).

Any cancellation request received fewer than 10 business days prior to a scheduled event (or after the event date has passed) due to an extenuating circumstance may be reviewed by the respective committee chair(s) who in turn will recommend the appropriate refund and action to the Board of Directors.

Can I transfer my registration if I can no longer attend?

Yes! You may transfer your registration to someone else in your organization. There is no fee for equal transfers. If you are transferring to a non-member, you will be invoiced for the difference in member vs non-member pricing. The request must be made via email to [email protected] and include the following information:

  • Name
  • Job Title
  • Email
  • Phone
  • First time attending EACE Annual Conference? Y / N
  • Any dietary needs / physical accommodations required

I am a member of NACE. Does that mean I receive member pricing for EACE? 

No. EACE is independent and autonomous from the national association.

Is there a deadline to book my hotel room at the group rate? Where do I make the reservation?

The deadline to book your hotel room at the discounted group rate of $195 per night (plus taxes/fees) is June 4, 2018. It is highly likely that the group room block will sell out prior to the deadline, therefore, it is recommended to book your room early.

Can I receive the discounted room rate for dates before and/or after the conference?

Yes. The discounted room rate of $195 (plus taxes/fees) is available to conference attendees from June 20 to July 1, 2018. Come early or stay a few extra days to do some sightseeing!

Does the hotel provide transportation to/from the airport?

Yes. The Hyatt Regency Reston offers a complimentary shuttle to and from Washington Dulles International Airport (IAD) which is 6.59 miles away. Shuttle service is based upon request, by simply texting the keyword “SHUTTLE” to (703) 991-2117 when you arrive at the airport. The requested pick up times will be at the top of each hour between 6:00 AM and 10:00 PM Monday through Friday and 7:00 AM to 10:00 PM on Saturday and Sunday. Requests for pick-up should be received at least 15 minutes prior to the top of hour. The pick-up and drop-off point will be at curbs 2A and 2H, adjacent to the lower level baggage claim level. Return shuttle transportation from the hotel departs on the :45 beginning at 5:45 AM Monday through Friday and 6:45 AM Saturday and Sunday.

The hotel does not provide complimentary service to any other airport.

What are the driving directions to the hotel? What are the parking fees?

The Hyatt Regency Reston is located at 1800 Presidents Street Reston, Virginia, 20190. Click here for custom driving directions. You will need to use the Dulles Toll Road (VA-267) if you are driving in from out of town. The rate is $2.50 at the main toll plaza and $1.00 at each on/off ramp. Parking is available in the garage attached to the Hyatt Regency Reston. Rates are as follows:


  • Overnight: $25.00 
  • Daily: $20.00


  • Overnight Hotel Guest - $16.00
  • Daily - $8.00 up to 2 hours
  • Daily - $12.00 for 2-4 hours
  • Daily - $20.00 Max for 4+ hours

How do I get an attendee list?

Approximately two weeks prior to the event, you can expect to receive an email entitled "Tips For Your Trip." This email will contain the attendee list including name, organization, city, state and email in PDF format. EACE does not distribute attendee lists in excel format.

Will I receive a printed conference program?

Due to the popularity of the EACE Annual Conference app, the association does not provide printed copies of the schedule. The interactive schedule, presentation handouts, speaker bios, transportation information and more is easily accessible from your mobile device! If you prefer a printed copy, please print out the schedule to bring with you. The Registration Desk will also have a printed copy on hand to view.

What is the conference attire?

Business casual is suitable for all conference activities. (Men: khaki pants, slacks and collared shirts. Women: slacks/capris, skirts and blouses) Social functions are casual. It is recommended to bring a light sweater as meeting rooms can get chilly.

Do I receive continuing education credits for attending?

Many conference sessions may offer credit through SHRM, NBCC and/or HRCI for attending. Sessions offering credit will be noted on the schedule.

When will break-out session information be available?

If you submitted a session proposal, you can expect to be notified of its acceptance status by the end of February. Session details should be available on the conference schedule webpage by April.

When will the 2018 EACE Annual Conference App be available?

The 2018 EACE App will be available closer to the date of the event. Details will be posted to the website and will also be included in the "Tips For Your Trip" email that registrants will receive approximately two weeks prior to to the conference.

Will there be free WIFI at the conference?

Yes. WIFI information will be posted at the EACE Registration Desk.

Can I bring my spouse/children?

Although attendees may bring family members to the hotel, only paid registrants wearing conference names badges will be permitted to attend conference events and food/social functions.
